Mountain Veteran Program ("MVP," "we," "our," or "us") is a nonprofit organization located at 8841 N. Alpine Loop Road, Sundance, UT 84604. We are committed to protecting the privacy and security of the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

By using our website at mvpsundance.org (the "Site") or submitting any form to us, you agree to the practices described in this policy.

a) Veteran Applicant Information: When you submit a program application, we collect your name, preferred name, gender, date of birth, age, phone number, email address, mailing address, emergency contact details, marital status, height, weight, shoe size, dietary restrictions, branch of service, service status, rank, years of service, information about visible or invisible wounds or disabilities that may affect program participation, accommodation needs, service dog status, and how you heard about MVP.

 

b) Guest Information: When a veteran submits an application that includes a guest, we collect the guest's name, preferred name, gender, date of birth, age, phone number, email address, relationship to the veteran, emergency contact details, dietary restrictions, height, weight, and shoe size.

 

c) Documentation: We collect uploaded documents that verify military service and service-connected injuries or disabilities. Accepted documents include DD214, Common Access Cards, VA award letters, military medical board documentation, and similar official records.

 

d) Donor Information: When you make a donation through our Site, we collect your name, email address, and billing information. Payment transactions are processed securely by Stripe. We do not store full credit card numbers on our servers.

 

e) Communications: If you contact us by email or through our contact form, we retain a record of that correspondence.

 

f) Website Usage Data: We use Google Analytics to collect anonymized data about how visitors use our Site, including pages visited, time spent on the Site, and general geographic location. This data does not identify you personally. We also use Klaviyo to manage email communications with individuals who have opted in to receive updates from us.

 

3. How We Use Your Information

 

We use the information we collect for the following purposes:

  • To review and process program applications
  • To coordinate program logistics, including sharing relevant details (such as height, weight, shoe size, and adaptive needs) with our recreation partners at Sundance Mountain Resort solely for the purpose of arranging your program experience
  • To communicate with you about your application, program status, and pre-arrival information
  • To process donations and issue donation acknowledgments
  • To send email updates to individuals who have opted in via Klaviyo
  • To analyze website traffic and improve the Site using Google Analytics
  • To comply with applicable laws and regulations

 

4. Sensitive Information

 

We collect information about service-connected injuries, disabilities, and medical or physical conditions solely to determine adaptive equipment needs and ensure appropriate program accommodations. This information is treated with the highest level of confidentiality and is not shared with any party beyond those directly involved in arranging your program experience. We will never sell, rent, or trade this information.

 

5. How Long We Retain Your Information

 

We retain applicant and participant records for a period of seven (7) years following your last interaction with MVP, or as required by applicable law. Donor records are retained in accordance with IRS requirements for nonprofit organizations. You may request deletion of your information at any time by contacting us at the address below, subject to any legal retention obligations.

 

6. Information Sharing and Disclosure

 

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

  • With Sundance Mountain Resort and its recreation partners, strictly for the purpose of arranging your program logistics (e.g., ski instructors, spa providers, activity guides). Only the minimum necessary information is shared.
  • With Stripe, our payment processor, to complete donation transactions. Stripe's privacy policy governs their handling of your payment data.
  • With Klaviyo, our email marketing platform, for individuals who have opted in to receive communications from us.
  • With Google Analytics, in anonymized and aggregated form, to help us understand Site usage.
  • With law enforcement or government authorities if required by law or to protect the safety of our participants, staff, or the public.

 

7. Cookies and Tracking

 

Our Site uses cookies and similar tracking technologies to operate the website and analyze traffic. These include:

  • Analytics cookies used by Google Analytics to collect anonymized usage data

Our programs are designed for wounded veterans and their guests. Our Site is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.
